There are more madrasa management tools than there used to be, and they're not all trying to do the same thing. Some are full institution platforms; some are simple attendance-and-fees apps; several are built squarely for UK supplementary madrasahs, where collecting fees by Direct Debit matters as much as the register.

This roundup is meant to save you the demo-call marathon. For each tool we cover what it does, what it costs (where that's public), and the kind of madrasa it suits best — drawn from each vendor's own website, checked in September 2026.

We looked at the things a madrasa actually relies on day to day:

• Hifz tracking — does it record Sabaq, Sabqi and Manzil (Sabak, Sabak Para, Dhor) separately, not just "pages done"?
• Core admin — attendance, fees, exams, classes, teachers, parents.
• Fee collection — does it only track fees, or collect them (Direct Debit, card)?
• Pricing transparency — is it public, and can you try it free first?
• Languages — interface support beyond English.
• Fit — small maktab, mid-sized madrasa, or large institution; UK or international.

We did not rank by paid placement, and where a vendor doesn't publish pricing we say so rather than guess.

1. MaktabPro — best flat price for small and mid-sized madrasas

MaktabPro is built specifically for madrasas and Hifz programmes. It tracks the three streams of Qur'an memorisation (Sabaq, Sabqi, Manzil) alongside Nazra, Qaida and Tajweed, plus Tarbiyah and Salah; handles attendance, fees and finance, exams and report cards, homework, timetables and payroll; lets you message parents by email (SMS and WhatsApp are rolling out); and gives every family a private parent view and every madrasa a public website.

• Pricing: Public and flat per madrasa. Tutor (up to 50 students) ₹499 / $25 / £19 a month; Academy (up to 250) ₹999 / $59 / £49; School (unlimited) ₹1,999 / $149 / £129. 30-day free trial, no card.
• Languages: English, Urdu and Arabic, including right-to-left layouts.
• Strengths: No per-student charge, a simple interface teachers pick up fast, and a student import that takes a paste straight from Excel.
• Trade-offs: It tracks fees and sends reminders but doesn't collect them by Direct Debit or card, and it's a web app (it installs to a phone's home screen) rather than a native app-store app.
• Best for: Small and mid-sized madrasas and weekend maktabs, in India, the UK or elsewhere, that want predictable pricing and a simple tool.

2. ilmify — most feature-complete

ilmify is the broadest tool in this list. Alongside Hifz and Nazra tracking it adds Tarbiyah (character) and Salah (prayer) tracking, exams, fees, attendance and a parent app — with the interface in eight languages: English, Urdu, Arabic, Hindi, Tamil, Malayalam, Telugu and Gujarati. (Its iOS app is listed under the name "Maktab App"; it isn't the same product as maktab.info below.)

• Pricing: Public. Institute plans at $35 and $70 a month (₹590 / ₹1,180), billed annually, or $1–$3 a student a month with a 50-student minimum. No card needed to start.
• Strengths: Breadth and the widest language support in this list.
• Trade-offs: Per-student plans suit 50+ student institutions more than tiny maktabs; more modules mean more to learn.
• Best for: Larger institutions wanting everything in one place, especially where staff work in South Indian languages.

3. IlmFlow — lowest per-student price in the UK

IlmFlow is an all-in-one platform for UK Islamic schools and supplementary madrasahs: attendance with a one-click "mark all present", student records, Hifz logged as Sabak, Sabak Para and Dhor with mistakes and quality ratings, exams, fees and staff payroll, with parent and teacher portals in English, Arabic and Urdu.

• Pricing: Public. £0.25 per active student a month with a £15 minimum, every feature included — about £37.50 a month for 150 students. Optional card payments from parents go straight to the madrasah's bank account.
• Strengths: Very low per-student cost for mid-sized UK madrasahs, detailed Hifz logging, and personal setup within a working day.
• Trade-offs: UK only; setup is done with their team rather than self-serve; per-student pricing climbs with size (300 students is £75 a month).
• Best for: UK madrasahs of 60–250 students that want a low monthly bill and online fee payments.

4. Hidayah — best for Direct Debit fee collection

Hidayah focuses on the UK madrasah's biggest headache: getting fees in. It collects monthly fees by BACS Direct Debit, sends automatic reminders with protection against double payments, handles sibling discounts and records cash and bank transfers — alongside tablet attendance registers, Hifz, Qaida and Tajweed tracking and a parent portal that needs no app.

• Pricing: Priced by school size with no setup fee; figures are on their homepage rather than the product page.
• Strengths: Fee collection handled end to end; versions for the US, Canada, Ireland, Australia and New Zealand.
• Trade-offs: No interface languages beyond English advertised; the value is highest if you want fees collected for you rather than just tracked.
• Best for: UK madrasahs where chasing fee payments costs the most time.

5. IBEAMS (IBEUK) — most established in the UK

IBEAMS is built and maintained by IBEUK in Leicester and says it is used by more than 200 Islamic schools and maktabs. It covers attendance, fees with reminders and balance tracking, a parent portal, teacher-parent communication and reporting.

• Pricing: Not published on the homepage.
• Strengths: A long UK track record, a 4.4 Trustpilot rating, and a demo you can log straight into without a sales call.
• Trade-offs: No public pricing; Hifz-specific tracking isn't described in detail on the homepage.
• Best for: UK Islamic schools and larger maktabs that value an established local provider.

6. Maktab App (maktab.info) — phone-first

A mobile-led platform with admin, teacher and parent apps on Android and iOS, covering admissions, attendance, exams and marks, timetables, task management and a Salah tracker, with the interface in English, Hindi/Urdu and Tamil.

• Pricing: Not published — contact the vendor.
• Strengths: Native apps for parents and teachers; configurable custom fields.

7. ManageMadarsa — simple, Windows-friendly admin

ManageMadarsa focuses on the administrative basics: students, classes, courses and teachers; exams and report cards; fees, accounts and cashflow reports; and attendance. It runs on Windows as well as Android and iOS, and is aimed at staff with little computer experience.

• Pricing: Not published — described as affordable; free demo arranged through their support team.
• Strengths: Straightforward, approachable for non-technical staff.
• Trade-offs: No public pricing or self-serve trial; no three-stream Hifz tracking highlighted.
• Best for: Madrasas wanting simple admin without Hifz-specific depth.

8. e-maktab — UK maktab registers and fees

e-maktab is a UK student management system for maktabs and madrasahs, offering digital registers with absence notifications for parents, online fee collection with automated reminders, and payment history. Its public pricing details are lighter than the tools above, so confirm specifics directly.

• Pricing: Not listed in detail publicly.
• Best for: UK maktabs wanting registers and fee collection in one tool.

How to choose

A simple way to narrow it down:

1. Decide whether you need fees collected or tracked. If chasing payments is your biggest problem and you're in the UK, shortlist Hidayah, IlmFlow or e-maktab. If families pay cash or transfer, tracking plus targeted reminders is enough and widens your options.
2. Do the per-student maths. Per-student pricing is cheap for a small school and expensive for a large one; flat pricing is the reverse. Price your shortlist at the size you'll be in a year.
3. Insist on proper Hifz tracking. If a tool can't show Sabaq, Sabqi and Manzil separately, it's a log, not a tracker. (Here's why that distinction matters.)
4. Match the language to your staff. English, Urdu and Arabic are common; ilmify goes furthest beyond that.
5. Try before you commit. Use a free trial with your real student list for a week. The tool your teachers actually enjoy is the one that will get used.
